The decision
List the work that currently waits: unanswered calls, unverified appointments, incomplete records or claims needing follow-up. Record daily volume, average handling time and the hours when the queue grows. This turns a vague request for help into a brief that providers can price.
What to compare
Separate tasks that require live coverage from work that can be completed in a scheduled block. A receptionist must be available when calls arrive. A records assistant may clear a queue at a different time. Combining both roles only works if calls leave enough uninterrupted time for the second job.
Before you commit
Ask each shortlisted company to match a candidate against the same brief. Use a de-identified exercise and a clear escalation rule. Judge the candidate on accuracy, communication and understanding of your workflow, rather than assuming a long service list proves every assistant has every skill.
